Privacy Policy

1. Overview

DistributePro is a private field sales and distribution CRM operated by Protegy Supplements. This policy describes how we collect, use, and protect information within the application. Access is restricted to authorized employees and contractors of Protegy Supplements.

2. Information We Collect

• Account information: Name, email address, and role assigned by your administrator.
• Business data: Client records, visit logs, delivery records, orders, and credit memos entered by authorized users.
• Financial data: Invoice and credit memo data synced from QuickBooks Online for reconciliation and reporting purposes.
• Location data: GPS coordinates captured during client visits when the user grants location permission.
• Usage data: Standard server logs including IP address and request metadata.

3. How We Use Information

Information collected is used exclusively for:

• Operating and improving the DistributePro application
• Generating sales, delivery, and accounts receivable reports
• Syncing financial data with QuickBooks Online
• Internal business operations of Protegy Supplements

We do not sell, rent, or share personal information with third parties for marketing purposes.

4. QuickBooks Integration

When connected to QuickBooks Online, DistributePro accesses invoice and credit memo data via the Intuit API using OAuth 2.0. We store access tokens securely in our database and use them only to sync financial data for internal reporting. We do not modify QuickBooks data — the integration is read-only. Tokens are refreshed automatically and can be revoked at any time from your Intuit account.

5. Data Storage & Security

All data is stored in Supabase (PostgreSQL) with row-level security policies enforced. Access is authenticated via Supabase Auth. Data is encrypted in transit (TLS) and at rest. Only authorized personnel can access the application.

6. Data Retention

Business records are retained for as long as required for operational and legal purposes. User accounts are deactivated upon termination of employment or contract. You may request deletion of your personal data by contacting your administrator.
